Job Description Job Summary Provides clerical/bookkeeping support to the department and includes creating documents and reports through various computer programs. This individual must be able to analyze and verify the accuracy of such things as invoices and credit card purchases. This person must be able to enter and follow up on purchase orders. Along with organizational ability, they must have excellent math skills. This position requires confidentiality, good communication skills and the commitment to carry out tasks. Must possess the desire to be part of a team and be willing to get involved in anything that needs to be done to help make the department run efficiently. Job Scope This position has no supervisory or budgetary responsibilities. Essential Job Duties and Responsibilities Review utility bills and set up for payment Process payroll time cards for supervisor review Review and reconcile credit card charges Enter and follow up on non-bond purchase orders Develop and maintain office files Develop and maintain vandalism cost reports Maintain activity fund account bookkeeping Develop and maintain forms for various projects Prepare memos and professional correspondence Answer calls Complete all tasks requested by supervisor or director Physical and Environmental Conditions Work location is in the office Ability to move from one location to another Minimum Education, Experience and Certification High school diploma or equivalent is required Three years experience in secretarial/clerical duties is required Four year college degree in business or accounting preferred but not required Advanced computer experience is preferred Bilingual English/Spanish preferred Knowledge, Skills and Abilities Skills in typing, word processing, able to adapt quickly to any new computer software, filing and general clerical duties, knowledge of modern office procedures, knowledge of word processing on various software packages, ability to read, write and perform basic math, ability to use a computer, telephone, FAX, and copier, ability to work and get along well with the public.
