Job Description TTI is seeking to hire an Administrative Assistant who will be accountable for providing a wide variety of administrative support, confidentiality, and back-up support to Executive Assistant who is accountanble for supporting the CEO, Global President, and North American President. ACCOUNTABILITIES Maintains information and records of a highly sensitive and confidential nature. Provides effective telephone support for executive team by thoroughly screening calls; assisting caller if possible or routing call if needed; and by producing detailed, error free messages. Also, provides effective back-up telephone support to the Executive Assistant. Provides effective communications support by creating and distributing business and personal correspondence as requested. Position also attends meetings at manager’s request to take and transcribe minutes. Provides effective mail support by opening and screening all mail, eliminating junk mail, routing or responding to mail if possible and by sorting and elevating mail based on urgency. Position also processes outgoing mail in the most efficient, cost effective manner. Assists manager in effectively maintaining calendar by screening requests for appointments and meetings and by coordinating meetings with his direct reports. Supports manager with general clerical needs including, but not limited to, establishing and maintaining files, copying, faxing, routing and distributing information. Updates and distributes reports, charts, etc. ensuring accuracy and in a timely manner. Ensures adequate stocking of office supplies for self and manager by reviewing inventory in stock, reviewing needs and by coordinating the placement of orders. Provides general back-up support as required to Executive Assistant, as well as other departments as requested. Provides a wide variety of personal administrative support as requested. EDUCATION & EXPERIENCE High School Diploma or GED required. Three plus years of related administrative support experience. SKILLS & CERTIFICATIONS Possesses highly professional demeanor with the ability to maintain strict confidentiality. Demonstrated proficiency in all Microsoft applications (ie Word, Excel, PowerPoint, Access, and Outlook). Effective verbal and written communication skills with an excellent understanding of English grammar and composition. Demonstrates excellent telephone etiquette. Exhibits strong interpersonal/teamwork skills in order to develop effective relationships with individuals and groups inside and outside the TTI organization. Possesses good working knowledge of banking functions and accounting principles. Ability to type 40 words per minute and operate 10 key by touch. Strong problem solving and analytical skills. Strong organizational skills. Strong attention to detail skills. Ability to prioritize and multi-task. Ability to work independently with minimal supervision. Demonstrates sound business judgment.
