SUMMARY: The Administrative Assistant will provide general clerical assistance to multiple managers with varying responsibilities and deadlines. The operations assistant is responsible for performing a high level of administrative support with strict adherence to confidentiality for all management members as well as other members of the leadership team.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
Maintain all levels of confidentiality with regard to management files and personnel information.
Receive calls and give information to callers; screens and routes telephone calls to appropriate manager.
Greets visitors, staff, and other in a professional, courteous manner.
Copying, typing, sending/receiving and distributing facsimiles, sort, distribute and respond to mail, send certified mail, screen calls, answer phones, set up and maintain file system, inter office mail, overnight mail, frequently check out box and process work, etc.
Prepare letters, memos, correspondence and reports. Frequently required to draft correspondence with minimal direction.
Type/prepare various documents.
Schedules priorities to meet deadlines as determined by managers.
Maintain various files, listings, and records. Order supplies.
Maintain punctual and regular attendance. Present a professional attitude and appearance at all times.
Oversee scheduling roster to insure open shifts are filled.
Process payroll timesheets for correct, timely submission to payroll department.
Prepare of Personnel Action Notices, including new employees and profile changes
Adhere to all company policies and procedures.

High school diploma or GED. College coursework desirable. 3 years minimum experience as an administrative assistant. Experienced in Microsoft Office Suite Applications. Excellent phone and customer service skills. Strong administrative assistant skills with special emphasis on handling a variety of tasks efficiently. Strong initiative and follow through skills. Effective oral, written and interpersonal communication skills.
Occasionally: Reading, kneeling, stooping.
Frequently: Walking inside, lifting no more than 10 pounds, bending, leaning, seeing, typing 35 wpm.
Constantly: Hearing/listening, clear speech, sitting.
